Armet Systems LLC (“Armet Systems,” “we,” “us,” or “our”) builds custom AI tools for businesses — including AI chatbots, hiring and email automation, Microsoft Copilot integration, AI voice receptionists, and SMS lead notification services. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

We collect information in the following ways:

Information you provide directly

• Name and business name
• Email address
• Phone number (optional, via the contact form or service setup)
• Mobile phone number (when you opt in to receive SMS lead notifications)
• Messages and project details you share through the contact form or in direct communication with us

Information collected automatically through this website

• Chat messages you send through the website assistant. These messages are processed by Anthropic (the maker of Claude) to generate responses and are not stored by us after the session ends.
• Basic usage data (pages visited, features used) to improve the site

Information generated through client services

• Call logs and transcripts from your AI receptionist (caller name, phone number, reason for call, and any lead details captured)
• Message delivery records for SMS notifications sent to your phone

• To respond to inquiries submitted through the contact form
• To deliver and operate AI tools and automation services you have engaged us to build (chatbots, hiring automation, email automation, voice receptionists, and similar)
• To send you SMS notifications when your AI receptionist captures a customer lead
• To contact you about your project, service updates, or support requests
• To improve the reliability and quality of our services
• To comply with applicable legal obligations

If you opt in to SMS lead notifications, the following terms apply:

• Message frequency: You may receive between 1 and 10 messages per day, depending on the volume of calls your AI receptionist handles.
• Rates: Message and data rates may apply based on your mobile carrier plan.
• Opt out: Reply STOP to any SMS message to unsubscribe. You will receive a confirmation and no further messages will be sent.
• Help: Reply HELP to any SMS message for assistance, or email us at hello@armetsystems.com.
• Not required: Consent to receive SMS messages is not required as a condition of purchasing or using our services.

We do not sell, rent, trade, or share your mobile phone number with any third party for their own marketing purposes. Your phone number is used solely to deliver SMS lead notifications to you as part of the Armet Systems service. We do not share it with advertisers, data brokers, or any other third parties not involved in providing your service.

We work with a limited number of trusted service providers to operate our platform. These providers access your information only as needed to perform their function, are bound by confidentiality obligations, and are not permitted to use your data for any other purpose.

• Anthropic— powers the website chat assistant. Messages you send to the chat widget are processed by Anthropic's API to generate a response. Anthropic's privacy policy is available at anthropic.com/privacy.
• Resend — handles delivery of emails submitted through our contact form. Information you submit (name, business name, email, phone, and message) is transmitted through Resend to reach us.
• SMS delivery providers — used to send lead notification messages to clients who have opted in to SMS alerts.
• Cloud infrastructure providers — for hosting and deployment of this website and client services.

We retain your information for as long as your account is active or as needed to provide you services. Call transcripts and lead records are kept for a rolling 12-month period unless you request earlier deletion. You may request deletion of your data at any time by emailing hello@armetsystems.com.

We take reasonable technical and organizational measures to protect your information against unauthorized access, loss, or misuse. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security, but we take the protection of your data seriously.

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
